We an outdoor pool currently seeking a highly motivated Office Personnel. Our small but growing company needs a reliable, organized Office Assistant to manage the day-to-day administrative aspects of running the business. The successful applicant will have a positive attitude, a desire to work as efficiently as possible, and excellent client-facing communication skills. If you have worked in a fast-paced office in the past and enjoy being organized, we’re excited to talk with you. We’re looking for someone who can operate effectively with little or no supervision and who can manage multiple tasks at once without becoming overwhelmed.

Duties

Communicates with clients while providing superior customer service.

Answer high volume of phone calls and emails to current and prospective clients.

Schedule appointments.

Operate a computer workstation utilizing word processing and other program software as required.

Operate a variety of office equipment including fax, copier and computers/laptops.

Administer First Aid.

Take inventory and order office supplies.

Assist in custodial cleaning of the facility.

Performs other related duties as assigned.

Education & Experience

Any combination equivalent to High School Diploma and one year of increasingly responsible clerical experience involving the use of office equipment and experience involving operating computer word processing

Knowledge and Abilities

Basic techniques for providing support and guidance for student success.

Organizational skills for multi-faceted tasks.

Active listening and problem-solving techniques.

Modern office practices, procedures and equipment.

Interpersonal skills using tact, patience, and courtesy.

Oral and written communication skills.

Operation of office machines and computer software, such as Microsoft Word and Excel.

Correct English usage, grammar, spelling, punctuation, and vocabulary.

Telephone techniques and etiquette.

ABILITY TO:

Perform varied and complex clerical support duties involving, typing, filing and maintaining records or reports in support of the Swim school.

Learn and apply rules, policies involved in assigned clerical activities.

Work independently.

Meet schedules and timelines.

Operate a variety of office equipment.

Utilize word processing and other computer software.

Type at 35 words net per minute from clear copy.

Read, interpret, apply and explain rules, policies, and procedures.

Maintain records and prepare reports.

Establish and maintain effective working relationships with others.

Understand and follow oral and written direction.

Work confidentially with discretion.

Plan and organize work.

Communicate effectively both orally and in writing.

Complete work with many interruptions.

Licenses and Other Requirements

Must be bilingual in Spanish and English

First-Aid/CPR certified

Be able to work weekends and evening shift as needed.

PHYSICAL ABILITIES: Dexterity of hands and fingers to operate a computer workstation and office equipment, speaking to exchange information, seeing to assure accurate and complete correspondence, reaching to retrieve and maintain files, sitting for extended periods of time, bending, pushing, lifting and moving objects weighing up to 25 pounds.
