About Us: Quasi-Hotels is a dynamic and fast-growing company operating in the real estate and hospitality sector, with properties in Dubai and Milan. We are seeking a proactive, highly organized, and tech-savvy Property Operations Coordinator to manage and support the daily operations of our Italian property portfolio. Role Mission: To ensure smooth daily operations, onboarding, maintenance, compliance, and guest experience for our Italian properties, coordinating with internal teams, suppliers, and external partners using ClickUp and other digital tools. Key Responsibilities: - Oversee the onboarding of new properties in Italy, including technical installations, supplier coordination, and documentation. - Manage maintenance issues, incident tickets, and follow-ups with vendors and service providers. - Coordinate subleasing processes, property viewings, and ensure all documentation is up to date. - Maintain and update compliance documents, licenses, and payment tools relevant to Italian regulations. - Manage the Payment Tracker: enter and update financial data for real estate transactions (deeds, down payments, installments, deadlines, paid/unpaid status). - Upload and organize contracts, invoices, legal documents, payment proofs, and property-related documentation. - Structure and update inventory for linens, consumables, decorations, and supplies; ensure logical organization of stock. - Support guest communication campaigns (e.g., promotional messages, upsell of extra services) for Italian guests. - Collaborate on digital content (review and localize landing pages, support marketing initiatives) for the Italian market. - Coordinate with internal teams (finance, property management, guest experience) and external stakeholders (suppliers, banks, authorities) in Italy. - Create and update tasks in ClickUp for multiple projects and departments related to Italian properties. Required Skills & Qualifications: - Advanced use of ClickUp or similar project management tools (Asana, Monday, Notion), including multi-stage workflows, custom fields, automation, and reporting. - Experience in property management, administration, payments, and financial data entry (preferably in real estate or hospitality in Italy). - Strong document management and compliance skills, with knowledge of Italian regulations. - Excellent written and spoken English and Italian (mandatory). Outstanding organizational skills, attention to detail, and ability to manage multiple priorities. - Proactive attitude, ownership, and clear, diplomatic communication with management, colleagues, and external partners. - Experience with hospitality/real estate tools (Guesty, Stripe, Alloggiati Web, CIN/CIR, banking portals) is highly valued.
