Manufacturing Cost Reporting Automation Project Overview I am a Cost Analyst in a manufacturing company and currently prepare monthly cost reports using a combination of SQL database exports, Excel workbooks, Microsoft Access databases, VBA macros, and manual data processing. The current process takes several hours and involves multiple manual steps. Management would like this process to be automated so they can monitor cost performance daily instead of waiting until the end of the month. Current Process The process currently includes: * Downloading production and rework data from separate production databases. * Importing both datasets into Excel where formulas determine product type, building, process dates, machine information, management, and cost model availability. * Running Microsoft Access macros to calculate standard cost authorization ($/piece) by labor, consumables, services, utilities, and other cost categories. * Importing Kronos labor hours, cleaning the data, excluding fixed employees, and calculating actual labor costs using another Access database. * Importing actual consumables, services, and other monthly costs into Excel and running additional macros to consolidate actual versus standard costs. * Producing a final dataset used in Excel Pivot Tables for variance analysis by management, product, machine, vendor, employee, cost category, and other dimensions. Goal I want to automate this entire workflow so that manual downloads, copy/paste steps, Excel formulas, and Access macros are minimized or eliminated. The final solution should automatically collect data, perform all required calculations, and provide an easy way for management to monitor daily cost performance. Desired Deliverables * Review and understand the existing Excel and Access process. * Document the current workflow and business rules. * Recommend the best architecture for automation. * Automate data extraction and transformations where possible. * Recreate the existing calculations accurately. * Build a centralized reporting dataset. * Develop an interactive dashboard (Power BI preferred if appropriate). * Enable scheduled or automatic data refreshes. * Provide complete documentation and source files. * Provide a knowledge transfer session so I can maintain the solution. Existing Environment * Microsoft Excel * Microsoft Access * VBA Macros * SQL production databases * Kronos labor data * Manufacturing cost model What I'm Looking For I'm looking for someone with experience in: * SQL * Power Query * Power BI * Excel VBA * Microsoft Access * Manufacturing reporting or ERP data (preferred) Experience reverse engineering existing Excel/Access solutions into automated reporting systems would be highly valued. Please include examples of similar projects you have completed and explain how you would approach this project.

Good to see this project, I will turn your monthly SQL exports, Access macros, and Excel workbooks into one automated pipeline: data extraction from your production and Kronos databases, all standard cost calculations (labor, consumables, services, utilities), and a Power BI dashboard for daily variance analysis by management, product, machine, and cost category. On a similar manufacturing reporting project, consolidating five separate Access and Excel steps into a single Power Query pipeline cut the reporting cycle from hours to minutes. Questions: 1) Do you have direct SQL connection access to both the production and Kronos databases, or are some exports manual flat files only? 2) Are the Access macros calculating standard cost authorization documented, or will I reverse engineer them from the .accdb files? Ready to start whenever you are. Kamran

I understand you need to automate your monthly manufacturing cost reports, which currently involve SQL exports, Excel, Access, and VBA, taking several hours due to manual data processing. I successfully automated a similar monthly reporting process for a client, reducing their report generation time from 8 hours to 15 minutes. I will build a Python script using Pandas to connect to your SQL database, extract production and rework data, and then perform the necessary calculations and aggregations. The results will be automatically exported to a structured Excel workbook, ready for your management's daily review, eliminating manual steps and VBA dependencies. What is the current frequency of data availability from your SQL database exports? Ready to start as soon as you confirm scope.

You’re automating a monthly, multi-tool manufacturing cost reporting workflow (SQL exports → Excel formulas/VBA → Access macros → Pivot-ready datasets). I’ll mirror your current business rules exactly, then modernize the pipeline so cost performance can be monitored daily. Approach: 1) Reverse-engineer: map every step from SQL extracts, Excel formula logic, Access macro calculations, and the final Pivot dataset, capturing inputs, transformations, and exceptions. 2) Automated data layer: build parameterized SQL/Power Query extraction for production/rework, Kronos labor, and actual consumables/services/costs; normalize keys (product/building/process/machine/vendor/employee/cost category). 3) Recreate calculations: implement the standard authorization ($/piece) and actual-vs-standard variance calculations in a repeatable model (Power Query + data transformations; optionally in SQL where efficient). 4) Central reporting dataset: create a single refreshable dataset with conformed dimensions for management slicing. 5) Power BI dashboard: daily-refresh variance visuals by all your required dimensions with clear drill-through to underlying transactions. 6) Scheduling + documentation: set up automated refresh, provide complete source files, and run a knowledge transfer session for maintainability. Deliverables emphasize accuracy-first parity with your existing outputs, then performance and maintainability.

Your month-end pipeline chains production + rework exports, Excel formulas for product/building/machine mapping, Access macros for standard cost authorization ($/piece across labor, consumables, services, utilities), Kronos labor cleaning with fixed employees excluded, then actual-vs-standard consolidation into pivots. The reason it takes hours is that each stage is a manual hand-off. I'd collapse it into one scheduled pipeline. My approach: pull production, rework and Kronos data directly via SQL/ODBC into a staging database so no manual downloads. I'd port every Access macro and Excel formula into documented SQL/Python transforms, preserving your exact business rules (the fixed-employee exclusion, cost-model availability checks, standard cost calc). Actual vs standard consolidation runs automatically each night, feeding a Power BI model with the same variance dimensions you use today, management, product, machine, vendor, employee and cost category, so management sees performance daily instead of at month-end. I'd start by documenting the current workflow so nothing is lost, then automate stage by stage and reconcile output against a known month to prove the numbers match before cutover. One scoping question: can I query the production and Kronos databases directly through a service account, or is data only reachable through the current export files? Muhammad Saad

I've rebuilt automated cost reporting pipelines in Excel/VBA/Access for similar manufacturing environments, extracting from SQL, Kronos, and ERP systems. I'll migrate the Access macros and Excel formulas into a Power Query/Power BI data model, replacing manual downloads with direct SQL/Kronos API pulls. The VBA macros will be consolidated into Power Query M scripts for repeatable ETL, then published to Power BI with scheduled refreshes. I'll validate calculations against your existing Access outputs before rebuilding the dashboard dimensions for daily variance analysis. I can start immediately. Thanks, Andrii

Cost report automation usually means connecting your Access or SQL data into an Excel dashboard that refreshes itself. I would build that with VBA macros and add a Power BI report on top if you want something shareable across the team. Working version in 3 days. Bid is an initial estimate based on the post. Final number depends on how many data sources feed the cost calculations and how much the existing sheets need restructuring. Can start today. Want to jump on a quick call?
