I need a cloud-only Power Automate flow that watches a SharePoint document library where vendors drop their progress-report files (PDF, Excel, Word). Each file name follows the pattern <Activity>_<PO Number>_<DD-MM-YYYY> (for example, Monthly progress report_PO [login to view URL]). The activity keywords—Hydrotest, Test, FAT, etc.—help me identify which testing phase the report refers to, and the embedded DD-MM-YYYY segment is the scheduled testing date. Here is the behaviour I am after: • As soon as a file is uploaded or replaced, the flow reads the activity keyword and the date from the file name, stores them in columns (Activity, PO Number,Test Date) and grabs the vendor’s email address that already sits in sharepoint with PO number. • Exactly two weeks before the Test Date the flow sends a single email reminder to that vendor asking for their Notice of Inspection (NOI). If a newer version of the same report is uploaded, the timer must reset to the new date automatically. • Nothing needs to be sent if the file is deleted or the date has already passed. Deliverables 1. Exported .zip package of the finished Power Automate flow, ready to import. 2. Step-by-step setup notes showing which SharePoint columns I must have (or create) so the flow works straight away. 3. One sample reminder email template I can tweak later. 4. To ensure its successful, a test should be performed Acceptance criteria • Flow detects the date in DD-MM-YYYY reliably from at least three test file names. • Reminder email fires exactly 14 calendar days prior to the captured date. • Updating the file or its name updates the scheduled reminder without manual intervention. No other integrations (SMS, Teams) are needed—email alone is fine. Please build, test, and document the solution so I can deploy it to my production tenant with minimal adjustment.

Hi, I will create a Power Automate flow that monitors your SharePoint document library for vendor progress reports. This flow will extract the activity keyword and test date from the file names using expressions to parse the strings. I will set up the flow to store this information in designated SharePoint columns: Activity, PO Number, and Test Date. Two weeks before the test date, the flow will send an email reminder to the vendor using the email address linked to the PO number. I will ensure that if a new version of the report is uploaded, the reminder resets automatically. I will also include a test to verify that the flow detects the date correctly from various file names. To get started, I will need access to your SharePoint library and details on the existing columns for PO numbers and vendor emails. Thanks!

Hi, I’ve built SharePoint + Power Automate workflows with filename parsing, date-driven reminders, vendor lookups and reliable rescheduling logic. I’d use a SharePoint-triggered flow to parse Activity / PO Number / DD-MM-YYYY, retrieve the vendor email from your PO data, and calculate the exact 14-day reminder date. For updates/replacements, I’ll cancel/replace the previous scheduling state so the reminder always follows the latest report date. Deleted/expired reports will be ignored. You’ll receive the importable .zip solution, setup guide, editable email template and test evidence covering multiple filename scenarios. Timeline: 2–3 business days / SGD $250 fixed. I can start immediately.

Hi, I can build and test this Power Automate + SharePoint solution, including filename parsing, PO/vendor email lookup, 14-day reminder scheduling, automatic reset when files are updated/renamed, and handling deleted/expired reports. Deliverables will include: • Import-ready Power Automate package • SharePoint column/setup instructions • Customizable reminder email template • Testing with multiple filename/date scenarios • Deployment notes and test evidence Estimated effort: 2–3 working days (18–22 hours). For the complete scope, I would suggest a fixed budget of USD 225–250, assuming the SharePoint environment and PO/vendor data are accessible and straightforward. If your stated SDG 250 means 250 Sudanese Pounds, that would not be sufficient for this scope. If you meant USD 250, it is workable. Best regards,

Neat, well-scoped Power Automate build — SolutionzHere has built filename-parsing flows with scheduled reminders and reset logic on SharePoint before. $30–250 SGD is fair for this — realistic quote $180–250 SGD, timeline 3–4 days (flow build + filename regex parsing + scheduled reminder logic + testing across sample files + docs). Quick q: do you already have a Power Automate premium/per-flow license, or does this need to run on the free/standard connector tier?

Extracting date strings via regex/split expressions and handling dynamic reminder scheduling without persistent delays requires an architecture built on scheduled daily checks rather than fragile long-running Delay actions. ✅ Build the trigger on file creation/modification to split the filename string, parse DD-MM-YYYY into an ISO 8601 date, and populate SharePoint library metadata alongside PO lookup. ✅ Implement a daily scheduled query flow that filters items where Test Date minus 14 days equals utcNow('yyyy-MM-dd') and ReminderSent is false, avoiding timeout bugs with multi-week pause actions and ensuring automatic date resets on file re-upload. ✅ Provide complete test runs across multiple filename structures, an exported .zip solution package, and clean column configuration notes. ✅ 10+ years production experience | 400+ completed projects | 320+ five-star reviews ✅ Microsoft® Certified: MCSA | MCSE | MCT & cPanel Certified (CWSA-2) Does the vendor PO lookup table reside in a separate SharePoint list within the same site, and is the PO stored as single line of text or a lookup column? I can deliver this in 1 day for 118 SGD and can jump on it right now.

Hi, The tricky part here isn't the email — it's the scheduling logic. Power Automate's standard "wait until" delay breaks past 30 days and doesn't recalculate when a file changes, so the right approach is a daily scheduled flow that checks dates rather than a long delay. My approach: 1. Trigger: SharePoint "when a file is created or modified" in the document library. 2. Parse the file name into Activity, PO Number, and Test Date using expressions, handling DD-MM-YYYY reliably. 3. Update the SharePoint item columns (Activity, PO Number, Test Date) and look up the vendor email by matching the PO Number to your existing SharePoint list. 4. Daily scheduled flow: scan items where Test Date is exactly 14 days away and send one reminder email. 5. File replaced: the column updates on the modified trigger, so the next daily check uses the new date automatically. 6. Deleted or past date: no email, no action. 7. Deliver the exported .zip, setup notes listing required SharePoint columns, a sample email template, and a test confirming the flow fires 14 days before the date. A few questions: 1. Is the vendor email list in a SharePoint list, or in the same document library? 2. Should Activity keywords be a fixed list (Hydrotest, Test, FAT), or open? 3. Which tenant region is your Power Automate environment in? Let's discuss in chat. Thank you!

Perfect Match "POWER AUTOMATE 14-DAY NOI REMINDER FLOW" — you need report updates to automatically reset the correct vendor reminder. I’d use the SharePoint file-created-or-modified trigger, parse Activity, PO Number and DD-MM-YYYY from the filename, then calculate Test Date minus 14 calendar days. The reminder record would be tied to the current report version so an updated file replaces the old schedule instead of creating duplicate emails. I’d also test at least three filename formats, including an updated report date, and document the required SharePoint columns plus import steps for the production tenant. Which SharePoint column currently stores the vendor email against each PO number? Looking forward to work with you.

Hi, I’m Dev Singh, Principal Automation Engineer with 20+ years in workflow automation. I have gone through your specific requirement for SharePoint reminder automation. I would use a scheduled Power Automate flow rather than Delay Until, because renamed or replaced files need the reminder date recalculated. I will build the cloud flow around SharePoint and Power Automate expressions. I will parse DD-MM-YYYY and reset the reminder when files change. And I will test three filenames, then provide the import ZIP and setup notes. Which SharePoint column currently stores the vendor email? Can PO numbers uniquely identify vendors? Should replaced files keep the same report record? Free for a quick call? Or answer those three and I will map it. Dev Singh

Hi, starting with your document library and the PO to vendor email reference. Getting the flow to parse the filename and fire the reminder exactly fourteen days before the test date is the goal. Previously I built SharePoint triggered flows where dates parsed from filenames had to survive file replacements without duplicating reminders. One design point worth raising early, since it affects reliability. Holding a fourteen day delay inside a single flow instance makes it hard to cancel when a newer file arrives, so I would use a daily scheduled flow that checks items where the test date equals today plus fourteen days. The date column simply updates on replace, which resets the reminder naturally and needs no cancellation logic. I would also confirm where the vendor email sits, since it needs a lookup keyed on PO number. You will get the importable zip, setup notes covering required columns, a sample email template, and test results across three filenames. Confident I can deliver high quality results within your deadline if awarded, so let us talk soon.

Hello, Nicolas is based in Brazil and can communicate directly with clients in Portuguese, including meetings when necessary, which helps keep workflow requirements and testing details clear. The important part here is making the reminder reliable when files are replaced or renamed, because a simple delayed action can leave outdated reminders running. I would build the cloud-only flow around SharePoint file events, parse the activity, PO number, and DD-MM-YYYY date from the filename, then match the PO against the existing vendor data. For the reminder, I would use a controlled scheduling approach so updates replace the previous schedule rather than creating duplicate emails. I would test multiple filename patterns, date calculations, replacements, deletions, and already-passed dates before exporting the package and documenting the required columns. One question: can the existing SharePoint PO/vendor list be referenced by a unique PO Number column? Happy to review the details and discuss the best way to implement the solution. Nicolas

Hi, I can build the cloud-only Power Automate solution around SharePoint and Outlook, with no desktop flow or additional integrations. I’ll handle file creation/modification events, reliable parsing of Activity, PO Number and DD-MM-YYYY from filenames, vendor lookup from the SharePoint PO data, and reminder scheduling exactly 14 calendar days before the captured Test Date. I’ll design the logic so replacing a report or renaming the file cancels/recalculates the previous reminder automatically, while deleted files and past dates are ignored. I’ll also test the flow against multiple filename variations and provide the importable package, SharePoint column/setup instructions, configurable email template, and deployment notes. Question 1: Is the vendor email stored in the same SharePoint list/library as the PO Number, or should the flow look it up from a separate PO/vendor list? Question 2: Should the reminder be based on the SharePoint tenant timezone, and should the email be sent at a specific time on the day exactly 14 calendar days before the Test Date? Regards, Houssame.

Hi, I can build this with an upload/update flow that parses Activity, PO and DD-MM-YYYY into SharePoint columns, plus a scheduled reminder flow that checks the current metadata and records whether the reminder was sent. This avoids old delayed runs sending emails after a file is changed or deleted. I will test valid/invalid filenames, renamed files, changed dates and duplicate prevention, and provide an export package and setup guide. Please confirm the tenant timezone and the intended behavior when a report is uploaded less than 14 days before testing. I estimate four days including testing.

Hello, After reviewing your project requirements, I understand that you need a reliable Power Automate cloud flow to monitor SharePoint uploads, extract testing information from file names, schedule vendor reminders, and handle updated reports automatically. I have experience with Power Automate, SharePoint, Microsoft 365, workflow automation, Excel data handling, and business process integrations. I can build the flow to detect activity keywords, parse PO numbers and DD-MM-YYYY dates, match vendor emails from SharePoint data, and manage reminder timing based on the latest uploaded version. My approach would be to create a structured SharePoint column setup, build and test the automated workflow with sample files, then provide the importable package, documentation, and editable email template. A quick question: • Is the vendor email information stored in the same SharePoint library or in a separate SharePoint list connected by the PO number? I can deliver a tested and documented solution ready for deployment in your Microsoft 365 environment. Best regards, Carlos.
