The aim of this project is to provide a small business a way automat the way in which they manage their
Newspaper/Magazine delivery accounts. The software should be designed to take into account all manual processes
which are currently being done by the Client. This includes price changes, holidays taken by the customer and other
factors which are mentioned in the attched documents.
The software should have the ability to:
•Set up Customer accounts for newspaper/magazine delivery.
•Ability to specify if the customer would like a home delivery or collection from Store
•Set up and maintain Delivery Routes
•Addresses within delivery routes can be put into a flow order
•Report which can be printed out at any time to show each address and the titles which they should receive on that day
•Allow the user to maintain and set up delivery charges. Charges for Mon-Fri, Sat-Sun, Mon-Sun, Collection (£0) or other
•Customers can have more than one title a day
•Each customer can request for an up-to-date invoice to be printed off at any time. Ability to print out multiple invoices for multiple customers in one click for the same invoice date.
•Titles (newspapers and magazines) should be maintainable along with price and ‘date from’ and ‘date to’ so that invoices reflect any changes (for example promotional prices or long term price changes).
•Allow the user to enter details of any holidays taken or holidays which will be taken by the customer. These holiday entries should be deducted from the invoices (taking into account the values of the goods and also delivery charges). Holidays can be any amount of time (days, weeks, months)
•Allow for the user to enter any days where titles were not published i.e. Christmas day, the invoices should reflect this
•Allow for the user to enter any days where titles were not delivered by the Store i.e. forgotten, stolen, the invoices should reflect this
•Allow the user to maintain and set up delivery charges
•Allow the user to add other charges to a customer’s account. The user must have to put the effective date and also a description of the charge, also the user should have to enter their name/ID against these entries.
•Management of vouchers which are used by the customers for redemption against titles. Recording of the dates vouchers are received and their start and end dates.
•Invoice should show details such as a daily dates covered by the invoice, cost breakdown, any deductions (holidays, others, vouchers), delivery charges, Total.
•Invoice should have customisable headers, footers, and a message section. Invoices should be readable but also taken into account paper usage, possibly paper size A6.
•System should log when invoices are paid, the amounts paid, and the payment method. Should be able to print a report that shows the payment history.
•Manage Newspaper titles, publication frequencies and pricing. ‘Date from’ and ‘date to’ for any changes in prices
•Manage Magazine titles, publication frequencies and pricing. ‘Date from’ and ‘date to’ for any changes in prices
•Possible backup procedure (USB), ability to export data to CSV for safe storage
-All bids must be carefully placed taking into account all points.
-All bids must be final and cannot be increased once the project is taken on, the Freelancer must take into account Freelancer fees when bidding on this project. This can change if the Client requests a major change however.
-When placing a bid, the user must detail how they will look to achieve the project goals clearly and include sample screen and or database table structures.
-The winning bidder must provide a terms and conditions document prior to having their bid accepted. This document must have details with regards to the support of the software, the ownership of the software’s code, rights etc once the project has been delivered successfully. This must be signed and dated, and sent to the client, for the client to record.
