Virtual Assistant Job Description

Company Information:

Tourarama Property Management Inc. is a vacation rental property management company that provides guests with properties through popular websites such as Airbnb, VRBO etc. In addition to this, they also provide many sports, family and romantic getaways and provides tourist information for the City of Toronto, Ontario, Canada. Currently, Tourarama has 3 properties on these websites and will be adding 2 more soon.

Daily Tasks:

- Manage Vacation Rental Calendar on [url removed, login to view] and www.vrbo.com. Pricing is key in success of the booking. Ensure that listing is always on top of these websites by updating calendar every hour.

- Contact with clients who are requesting specific days to book the property and work with them to book the property. Ensure that Airbnb’s calendar is always updated and VRBO is secondary. They are both connected so shouldn’t have any issues with double booking. Once VRBO is booked, manually block dates from Airbnb. Reverse is not required.

- Ensure payment has been received prior to sending welcome email to the guest. Welcome email must contain proper passwords and property address.

- Ensure all information is proper in the form and has been received. Ensure that information is stored in Constant Contact for later use. Ensure nothing is missing or bad entries.

- Ensure payment for parking is received before releasing passwords to the guest.

- Schedule Cleaners. Communicate with them at all times and ensure that their availability is there to clean when the guest leaves. Communicate with guests that they have to leave at 11 AM. Arrange cleaner right after they leave.

- Remind guests to leave the keys exactly where they picked up from and remove their car from the parking spot. Provide instructions to park in visitors parking if the property allows for it.

- Working on property management software ([url removed, login to view]) to generate appropriate reports on expenses.

Filler Tasks:

- Place advertisement on [url removed, login to view] (classifieds website) to find out DOWNTOWN TORONTO apartment AND house owners that are renting their properties and get them to understand that they can use the Vacation rental property management ([url removed, login to view]) instead of renting it traditionally

- Contact people/organizers on [url removed, login to view], [url removed, login to view] for speaking opportunities on Vacation Rental Real Estate

- Research into other real estate speaking opportunities and provide leads.

- Manage Rahim Lakhani’s calendar on [url removed, login to view] to avoid conflicts between meetings.

- Write blog articles on [url removed, login to view] with regards to topics provided by Rahim by doing research on various hospitality issues such as cleaning, pricing, insurance etc. Rahim will provide videos to listen and write.

- Manage social media accounts and providing information on various promotions to clients.
