# OEM Vendor Sourcing and Custom Fabricator Qualification Specialist ## Project Overview We are seeking an experienced sourcing professional to identify, contact, and preliminarily qualify manufacturers, material suppliers, and custom fabricators. This is not a basic web-research or lead-generation assignment. The selected freelancer will communicate directly with prospective vendors, obtain budgetary estimates, verify their capabilities, and recommend a shortlist of vendors for our management team to visit in person. The specific materials, products, fabrication processes, and technical requirements will be disclosed to the selected freelancer. We expect to begin with one paid pilot category. Successful completion may lead to additional assignments. ## Scope of Work The freelancer will: 1. Review the specifications and supplier requirements provided by the client. 2. Identify suitable material suppliers, OEM manufacturers, and custom fabricators in the agreed countries or regions. 3. Determine whether each candidate is an actual manufacturer or fabricator rather than a broker, reseller, or trading company. 4. Verify each candidate’s legal business identity, physical location, and factory or production facility. 5. Make initial contact with prospective vendors using client-approved language and contact information. 6. Send standardized RFI or RFQ documents and request budgetary estimates. 7. Collect and organize the following information: * Estimated material or unit pricing * Minimum order quantities * Tooling, mold, engineering, and setup costs * Production and delivery lead times * Production capacity * Available materials, grades, sizes, and specifications * Manufacturing and fabrication processes * Equipment and maximum production capabilities * Customization and engineering support * Quality-control procedures * Certifications and testing capabilities * Export experience, particularly to the United States * Warranty terms * Payment terms * Applicable Incoterms * Factory photographs, videos, and equipment lists 8. Obtain preliminary quotations based on the specifications provided. 9. Conduct preliminary telephone or video calls with promising vendors when appropriate. 10. Maintain complete records of outreach, responses, quotations, and follow-up activity. 11. Compare candidates using a structured vendor-evaluation matrix. 12. Recommend approximately four to eight vendors that justify an in-person visit. 13. Organize the finalists geographically and assist with preparing a practical visit itinerary. ## Required Deliverables The completed assignment must include: * Supplier-search strategy * Verified vendor longlist * Vendor contact information and facility locations * Record of outreach and follow-up activity * Completed supplier questionnaires * Preliminary quotations and supporting documents * Side-by-side vendor comparison matrix * Verification of manufacturing or fabrication capabilities * Identification of vendors that could not be adequately verified * Risk notes for each serious candidate * Ranked shortlist of recommended vendors * Written explanation supporting each recommendation * Suggested itinerary for visiting the shortlisted facilities ## Vendor Verification Requirements Simply locating vendors through Alibaba, Global Sources, Google, or industry directories is not sufficient. The freelancer must independently evaluate whether each candidate possesses the claimed facilities, equipment, personnel, production capacity, and technical capabilities. Applicants should be able to explain how they distinguish actual manufacturers and fabricators from brokers, resellers, and trading companies. Useful verification methods may include: * Corporate-registration searches * Facility-address verification * Video factory inspections * Equipment verification * Certification checks * Customer or trade references * Export or shipment records * Local-language research * Independent factory-audit information ## Communication and Recordkeeping The client may provide a dedicated email address for vendor communications. All relevant communications must be preserved and included in the final project records. Communications conducted by telephone, WhatsApp, WeChat, or other channels must be summarized and documented. The freelancer may not make contractual commitments, place orders, accept quotations, agree to commercial terms, or represent themselves as an employee of the client. Final vendor selection and commercial negotiations will remain with the client. ## Confidentiality and Ownership The selected freelancer will be required to sign a confidentiality and work-product agreement before receiving detailed specifications. All specifications, supplier findings, contact information, quotations, communications, reports, and evaluation materials created or obtained through this assignment will belong exclusively to the client. Project information may not be disclosed, reused, resold, repackaged, or provided to another client or third party. Applicants must disclose any existing relationships or conflicts that could affect their independence. ## Preferred Qualifications * Demonstrated OEM, industrial-supplier, or custom-fabricator sourcing experience * Experience sourcing technical materials or made-to-order components * Ability to understand technical specifications, drawings, and bills of materials * Experience preparing and issuing RFIs and RFQs * Experience comparing quotations with different assumptions or commercial terms * Strong written and spoken English * Relevant regional language skills * Experience independently verifying factories and production facilities * Familiarity with international purchasing, inspections, Incoterms, and logistics * Ability to conduct professional preliminary vendor interviews * Ability to produce a clear, evidence-based vendor recommendation Existing vendor relationships are helpful, but every recommended vendor must still be independently evaluated. ## Application Questions Please answer every question: 1.
